What we store
To run the service, the 10-4 suite stores the information your company enters: dispatcher, mechanic, billing and driver account emails, driver names and phone numbers, customer and site details, daily dispatch sheets and the job notes on them, haul quotes (customer, sites, rates, versions and the PO on an accepted one), scale tickets and hourly shifts, shop work orders (units, VINs, meters, mechanic certifications), invoices, and driver pay settlements (pay rules, deductions and statements — never bank account numbers), and the safety calendar: the expiration dates of a driver’s CDL, medical card and drug-pool standing, of a unit’s registration and inspection, and of the company’s policies, with a note of where the paper is kept — never a licence, registry, policy or VIN number, a scan, or a test result. This data is stored with our cloud database provider (Supabase) and is visible only to your company’s signed-in accounts. We do not sell data, show ads, or use third-party advertising trackers.
Ticket photos
Photos that drivers add from their page — scale tickets, the signed time slip that ends an hourly shift, and the scale tickets of loads logged during a shift — are stored in a private area of the same provider. Nothing in it has a public address: the apps request a short-lived link each time a photo is opened. A photo is visible only to the driver who took it and to your company’s dispatch, billing and admin sign-ins. Photos are kept for the retention window your administrator sets in 10-4 Admin (one year unless changed); an administrator removes the older ones from Admin › Data — nothing deletes by itself, and a photo on a ticket nobody has reviewed yet is kept until it is reviewed; the typed ticket numbers, quantities and shift times are kept as the record of the work. The photo is proof, not data: nothing reads the picture — what the driver types is what gets billed.
Outside services the apps talk to
The website is hosted at Namecheap; the database and sign-in are Supabase. Every app loads the Supabase client library from the jsDelivr content network, every app keeps its own copy of the PDF maker on this site, and Quote its map library (Leaflet) (invoices, statements and the printed sheets are built on your own device, never on a server). The Dispatch and Driver pages load the Inter typeface from Google Fonts. The Shop looks up a VIN against the public NHTSA vPIC service when you ask it to, and looks up a sales-tax rate by ZIP code (salestaxzip.com) when you ask it to. None of these receive your company’s data beyond what the request itself needs (a VIN, a ZIP code, a font file name), and none of them set advertising cookies.
The Map tab in Quote draws its map from the US Geological Survey’s public map service (The National Map); map tiles load straight from that service into your browser, so it sees your device’s address the way any website does. When you search for an address, look up what is at a dropped pin, or ask for a route, the text you typed and the positions of the two ends (which may be your saved sites) are sent through our own server to openrouteservice (run by HeiGIT gGmbH, Heidelberg, on OpenStreetMap data) to be answered; a saved site that is given a position on the map is placed by a person’s pin. openrouteservice receives no customer name, quote, rate or account detail — only the addresses and positions the lookup itself needs — and the route figures it returns are shown to you and not kept by the suite; they reach a quote only if you type them in yourself. Our server keeps a count of lookups per person and per company (no addresses, no positions) to stay inside the map budget; those counts are deleted after about 45 days. Type site, pit, plant and business addresses into the map; for a job at a private home, drop a pin rather than typing the home address. Your own location is used only if you tap the locate button, and stays on your device. Map data © OpenStreetMap contributors (ODbL).
The stop links in a texted dispatch and on the driver page open Google Maps. Tapping one sends that site’s address to Google, under Google’s own privacy terms. A dispatch sent by text or share leaves the suite and stays in the message history on both phones — delete it there if it shouldn’t stay.
On your own device
The apps use browser storage (localStorage and IndexedDB) strictly to make the app work — sign-in sessions, local backups, offline access, and the queue that holds a driver’s ticket until the phone has signal — not to track you. A lost, unlocked device exposes what that person could already see; an administrator can disable a sign-in at any time from 10-4 Admin.
How long
Dispatch history is automatically purged after 365 days. Ticket photos follow the window above. Invoices, customers, quotes (including prospects’ names and contacts) and shop records are kept while your company uses the suite. A numbered quote is never deleted — it is marked declined or lost instead. The Rate Desk remembers what you typed (figures, and any customer name, address or job you typed on the fly) on your own device only, and forgets it when you sign out. The weekly diesel price, its history and your company’s fuel surcharge schedules are company settings, shared with everyone who opens Quote. When the server puts back a paid date, a payment or a sent quote that a save tried to remove, it writes a short record of that (who saved, when, what was kept); administrators can read it and nobody can change or delete it. To have data corrected or removed, contact your dispatch office; they can reach us from inside the apps.
Terms of use & disclaimer
The 10-4 suite is a dispatch, driver, shop, billing, safety-calendar, quoting and administration tool provided “as is” and “as available,” without warranties of any kind, express or implied. Dispatch decisions, driver assignments, repair records, invoice amounts, the prices and terms on quotes and the accuracy of the information entered are entirely the responsibility of the company using it. 10-4 TMS is not liable for missed or incorrect dispatches, lost data, service interruptions, or any damages arising from use of the applications. Always verify critical details directly with your drivers and customers. Access is limited to accounts issued by your company; keep your sign-in private.
What you need to run it
A current version of Chrome, Edge, Safari, or Firefox with JavaScript enabled, on phone, tablet, or computer. An internet connection is required to sign in, sync between devices, and receive dispatches; devices that have signed in before keep limited offline access. Printing works best from a desktop browser.
