A medical card that lapsed on Tuesday is a truck that sits on Wednesday. 10-4 Safety puts every CDL, medical card, drug-pool status, Clearinghouse query, registration, inspection and insurance certificate on one board, soonest first — and tells the driver too, weeks ahead. It keeps the dates and where the paper lives; the numbers stay in your binder.
What’s inside
Pull the drivers in from the dispatch board, add the units from the shop, type the dates off the cards. From then on the board does the remembering.
Company drivers, owner-operators and hired haulers. CDL, medical card, drug pool, Clearinghouse query — and for owner-operators, their insurance certificate, registration and inspection. Each one gets the starter set the moment you add them.
Trucks and trailers, pulled from the Shop. Registration and the annual inspection, with where the cab card and the sticker paperwork actually are.
Liability and cargo insurance, the Clearinghouse annual queries, the drug & alcohol program, UCR, the MCS-150 update. The dates an auditor asks about first.
Slow renewals that need an appointment — CDL, medical, registration, inspection — show up 90 days out and turn amber at 30. Quick ones that need a phone call — insurance, Clearinghouse — at 30 and 14. Both are settings.
Every line says where the real document is — binder and drawer, broker portal, TPA link — so the next person can find it without asking. It points at the paper; it never copies it.
An expired date tells the office who to call before an inspector does. Nothing here holds up a ticket or a shift mid-day — people decide, the board remembers.
One suite
Dispatch gets a count and a name. A driver gets their own dates and nobody else’s. The office gets the board.
Administrators open Safety as they open everything. The office manager gets in with one tick under Also opens on the Accounts page.
See Admin →The drivers and owner-operators Billing pays are the people Safety watches — one roster, no second list to keep in step.
See Billing →A small chip in the board’s header — Safety · 2 due — with the names, so the dispatcher can give the office a nudge without ever opening the binder.
See Dispatch →A driver signs in to their own page and sees “Medical card due in 30 days” while there is still time to book the physical. Nobody else’s dates ever show there.
See Driver →Nothing of Safety shows in a quote. A truck that can’t roll is the office’s problem to know about before the quote goes out — the due board says so.
See Quote →The units the Shop services are the units Safety tracks. Add from Shop brings the equipment list over; the shop’s own work orders stay in the shop.

Everyone the board has published to lands under People as a company driver, with CDL, medical, drug pool and Clearinghouse waiting for dates. Mark the owner-operators.
The equipment list comes over with registration and inspection on each unit. The company’s own policies are one button.
Open the binder once. From then on the due board tells the office who to call, and the driver page tells the driver — 90 days out for the slow renewals, 30 for the quick ones.
